How CoachTrack.Pro Was Born

Like many couples preparing for their wedding, my husband and I decided to join a personal training studio to get in shape. It was May 2024, and at first, everything went smoothly. Late evenings, sore muscles, lots of laughter, and a little bit of pre-wedding discipline.

But then we started noticing something unusual.

Trainers weren’t just focused on clients. Between sets, they were glued to their phones, scrolling through endless sheets. Salary day was even worse. Managers running around, checking notes, double-checking packages, and even reviewing security camera footage to see which trainer worked with which student. Trainers were frustrated, managers were exhausted, and the entire system looked like it was being held together with duct tape.

On our way home one evening, my husband and I looked at each other and laughed. We were thinking the same thing: this doesn’t have to be so complicated.

That night in June 2024, we started sketching out a simple tool: just enough to track sessions, trainers, and payments without the chaos. Nothing fancy, just something that would save everyone from the never-ending Excel sheets.

A few weeks later, we brought it back to the studio. Their reaction still makes me smile. They were not only motivated but also relieved. Suddenly, the burden of salary calculations and package tracking was lifted. Trainers stopped worrying about mistakes, managers stopped obsessing over security footage, and everyone could focus on training again.

As we kept talking with them, more pain points came up. They told us stories of trainers fooling managers for extra money, or students forgetting how many sessions they had left. We realized this wasn’t just about organization. It was about trust, transparency, and running a studio like a real business.

That’s when CoachTrack.Pro started to take shape.

We added financial analytics. We worked on dashboards. We spent weekends iterating, testing, and improving. We struggled with design until a close friend, one of the best designers I know, joined our small team. Since then, the three of us have been building this side by side.

When we launched financial reports for the first time, the studio owners couldn’t believe their eyes. Students who owed money were suddenly visible, payments came in faster, and within just three months, they had the confidence (and cash flow) to open a second studio focused on pilates. That’s where I still train today.

CoachTrack.Pro wasn’t built in a boardroom with a product roadmap and investors. It was born out of lived experience. Our experience as clients, and the studio’s experience as owners and trainers. It might not be perfect, and it may not fit every studio yet, but it works. And it’s growing.

Fast forward to today, August 2025. One week before our wedding anniversary, we’re ready to open CoachTrack.Pro to the public. What started as a small side project has turned into a tool we’re proud to share with other studios.

We built it on weekends. Sometimes, we left it untouched for weeks. There are still many things to do, but we never stopped believing in the value it could bring.
